How Does the Conversation Planner Work?
This article explains how parents use the Conversation Planner in Kwieb to schedule meetings with school staff.
1. You Receive an Invitation for the Meeting
When the teacher schedules the meeting and the registration period starts, you will automatically receive an email and/or push notification from Kwieb (depending on your notification settings). You will also see a green invitation tile at the top of your timeline (usually from 19:00 onwards).
Note: If you do not respond to the invitation right away, you will automatically receive a reminder (halfway through the registration period) and a final reminder (on the last day of the registration period).
2. Select a Time Slot
Tap ‘Choose your time slot’ in the invitation.
You will see a screen with all available time slots. If multiple days are available, these are listed in chronological order.
Select your preferred time slot and tap the green ‘Send’ button at the bottom of the screen.
3. Your Time Slot Is Reserved
After selecting your time slot, you can immediately add the appointment to your personal calendar by tapping ‘Add to calendar’.
All your scheduled meetings will also appear in the school calendar.
4. Change or Cancel Your Appointment
As long as the registration period is still open, you can change your selected time slot or cancel your appointment:
Go to the meeting in your Agenda.
Tap ‘Edit’ to choose a new time slot, or scroll to the bottom and tap ‘Cancel appointment’.
When you cancel, the invitation for the meeting will reappear as open (and you may receive new reminders for the open invitation).
You and any other parents/guardians linked to the student will receive a notification (email or push message) if the time slot is changed or the appointment is canceled.
Important: You cannot change your time slot if it has been assigned to you directly by the teacher.
